Holiday Schedule Management for Activity Studios

Modified holiday calendars create parent confusion and empty seats. Here is how to communicate changes clearly and keep every open class filled.

The Hype Class Team3 min read

Holiday schedule management is where good studios look chaotic and chaotic studios look abandoned.

You close early for Thanksgiving. You cancel the week of Christmas. You keep New Year's week open for families who stayed in town. Parents assume their regular Tuesday still meets — or assume everything is cancelled. Either way, you get no-shows, surprise refunds requests, and a front desk inbox that looks like a support ticket queue.

The fix is not a longer PDF. It is a deliberate communication and fill plan.

Where holiday schedules break

Most failures are predictable:

  1. One announcement, buried. A November newsletter mentions closures. Nobody who enrolled in October sees it again.
  2. Mixed signals. Website says open; door sign says closed; instructor texts a third version.
  3. Cancellation policy ambiguity. Parents travel while you are open and expect automatic credit. You expected a cancel request.
  4. No fill process. Advance holiday cancellations sit empty because staff are also on vacation.

Holiday weeks compress all year-round problems into ten days.

Build the holiday calendar once — then push it everywhere

Create a single source of truth:

  • Dates you are closed
  • Dates with modified times
  • Classes that still meet as normal
  • How billing and makeups work across closures

Publish that same content on:

  • Email (full detail, saveable)
  • SMS (short: "Closed Dec 24–Jan 1. Reply HELP for makeup questions.")
  • Portal / app banner
  • Front desk printout for pickup conversations

If channels disagree, parents will believe the most convenient version for a refund argument.

Split SMS and email by job

ChannelUse for holidays
EmailFull schedule PDF, makeup policy, billing notes
SMSClosures starting tomorrow, "tonight's class is on," last-minute openings

SMS wins for time-sensitive clarity. Email wins for the record. Using one channel for both jobs is how messages get ignored.

Handle cancellations and credits explicitly

State in plain language:

  • Closures: no class, no makeup needed (or how you handle prepaid sessions)
  • Parent travel while open: standard cancellation window applies
  • Makeups earned in December: whether the clock pauses during closure

Silence here creates January disputes. One clear paragraph prevents twenty emails.

Keep fill rate alive during modified weeks

Holiday weeks still have families in town — and waitlists for popular times. When someone cancels before a class you are running:

  1. Confirm the opening
  2. Offer it to the next waitlisted family via text
  3. Give a short window to claim, then move to the next family
  4. Stop when filled or when class starts

Do this even if staffing is thin. One recovered seat at $40–$60 pays for a surprising amount of seasonal stress. Sequential SMS offers beat a staff member trying to remember who to call between wrapping paper runs.

A holiday ops timeline

6 weeks out: publish the master holiday calendar
3 weeks out: reminder email + SMS for travel-heavy weeks
1 week out: confirm instructor coverage for days you remain open
During modified weeks: run waitlist fill on every advance cancel
First week back: clear makeup backlog before spring chaos

Reduce parent confusion, protect revenue

Parents are not trying to trick you. They are juggling school breaks, travel, and three kids' calendars. Your job is to make the studio calendar the easiest thing in that mess.
