Spring Activity Sign-Up: What to Ask About Makeup Policies
Before you enroll for spring, ask five makeup policy questions. The answers decide whether missed classes become credits or sunk cost forever.
Spring sign-up season feels optimistic. New session, fresh start, "this time we'll make every class."
Then March arrives with flu season, spring break, and a tournament that lands on the same Saturday as recital rehearsal. The families who stay calm are not the ones who never miss — they are the ones who asked about makeup policies before they paid.
Why spring enrollment is the right time to ask
Once tuition is on autopay, leverage drops. Front-desk staff are friendlier at enrollment than at dispute time. Asking clear questions now does two things:
- You pick studios whose policies match real family life
- You know the playbook when a miss happens
You are not being difficult. You are reading the contract before you sign it.
The five makeup policy questions
Ask these in writing (email or portal message) so you have a record.
1. How do I cancel, and how much notice do you need?
Get the channel (app, email, text, phone) and the hours (24, 48, same-day with doctor's note, etc.). "Just let us know" is not a policy — it is a future argument.
2. What do I get when I cancel correctly — makeup, credit, or nothing?
Studios use these words differently:
- Makeup: a replacement class in a specific window
- Credit: value toward a future class or month (sometimes transferable, sometimes not)
- Refund: rare for weekly memberships
Ask which one they offer and whether it expires.
3. How long do makeups or credits last?
Typical windows: 14 days, 30 days, end of session, or never expire. Short windows punish busy families. Longer windows are worth choosing when two studios are otherwise equal.
4. How do I book a makeup — and who is responsible for finding the slot?
Some studios require you to email and wait. Others open a makeup calendar. A few only allow makeups in designated "makeup weeks." Know the process before your kid is sick on a Tuesday.
5. What happens during spring break, school holidays, and recital weeks?
Spring schedules get weird. Ask whether:
- Studio closures automatically skip billing or require you to cancel
- Makeups pause during closure weeks
- Recital rehearsals count as the regular class or as an extra commitment
Sample email you can send today
Hi — before we finalize spring enrollment for [child's name], could you confirm: (1) cancellation notice and method, (2) whether we receive a makeup or credit, (3) how long it lasts, and (4) how we book it? Also, how do spring break and recital weeks work for absences? Thank you!
Short, polite, specific. Good studios answer clearly. Vague answers are data.
How to compare two studios with the answers
| Factor | Stronger for families | Harder for families |
|---|---|---|
| Notice window | 24 hours, multiple channels | 48+ hours, phone only |
| Makeup length | 30 days or session-end | 7–14 days |
| Booking | Parent can see open slots | Staff-only, slow reply |
| Holidays | Closures auto-handled | You must remember to cancel |
Price matters. Usable credits matter more once you are missing one or two classes a month.
After you enroll
Save the policy reply in a folder labeled by studio. When a miss happens, you are not hunting a PDF from September — you already know the deadline and the ask.
If you want those policies and miss tickets in one place, The Hype Class lets you forward studio emails, log absences, and track recovery without rebuilding the spreadsheet every season.
